A new customer gets typed into the phone system, the CRM, the scheduling app and QuickBooks, by three different people, with three different spellings. You already pay for good software. CTS connects it, so a record created in one place shows up in the others without anyone retyping it, and we watch every connection so you do not have to.
Microsoft 365 or Google Workspace. QuickBooks. Your CRM. Your field-service app. The VOIP phone system, the website forms, the e-signature tool. Most of them can talk to each other; they just never got introduced. Which ones can in your case is exactly what the AI Readiness Scan finds out.
Before anything gets connected, we sit with the people who do the retyping and draw the actual flow: where a lead, a job, an invoice and a new employee each get entered, and how many times. That map decides which connections pay off first and which are not worth building.
Where the vendors offer a proper door, we use it. Webhooks fire the moment something happens in one system; APIs let us create and update records in another. We build on Make, Zapier, Power Automate or custom code depending on what the job needs, and we tell you which and why.
Every manual hand-off becomes a sync with rules: what gets copied, in which direction, what counts as a match, and what happens on a conflict. Where a human should still decide, the sync stops and asks instead of guessing. Nothing silently overwrites a record someone cared about.
Older on-prem software, the dispatch program from 2011, the estimating tool that only runs on one PC: we build read-only bridges so their data feeds newer tools without risking the original. And every sync we build is monitored, with failures alerting us before they reach you.
A homeowner fills out the estimate form on your site. The CRM gets a contact and an opportunity with the form details attached, the right estimator is assigned by territory, and the homeowner gets a text within minutes confirming someone will call. Your office finds out by seeing the record, not by checking email.
The crew lead marks the job done in the field app. QuickBooks gets a draft invoice built from the job's line items, matched to the right customer record instead of a new duplicate, and it waits for the owner to review and send. No retyping from the work order, no missed change orders.
HR adds a person once. Microsoft 365 or Google Workspace creates the mailbox, the field app gets a technician login, the phone system gets an extension, and the CRM gets a user, all from the same record. Offboarding runs the same path in reverse, which is the part most companies forget.
These flows look a little different for every trade. See the versions we build for roofers, HVAC companies and landscapers.
There is almost always a way in: scheduled exports, email notifications, or a database we can read from safely. That becomes a one-way bridge, with the old system still owning its data. Only when every door is locked do we suggest changing the tool, and we will say so plainly.
A failed sync raises an alert to us, not a surprise to you weeks later. When a vendor changes an API, a login method or a field name, we fix the connection under your retainer. Maintaining what we build is the business model, not an add-on.
Not unless you ask. The point is to get more from the tools your team already knows. If one of them genuinely cannot do its job we will tell you, but replacing software is a separate decision we make with you, never a default.
Integrations depend on accounts, permissions and devices that behave. Our Managed IT team handles the help desk, Microsoft 365 or Google admin, network and security underneath, so a locked-out user or expired token does not take a sync down with it.
Most of our integration clients are on the Managed IT + Automation retainer: we support the people and the machines, and we keep the connections between systems working and growing. One number to call whether the printer is down or the invoice sync is.
The AI Readiness Scan starts with a systems inventory and a map of where the hours go, which is exactly the groundwork integration needs. Fixed scope, flat fee quoted up front, about two weeks. If you would rather talk first, the 30-minute call is free.
